What personal data does Strumpshaw Steam Rally Limited collect?

The data we routinely collect includes entrant’s names, addresses, and possibly email addresses and telephone numbers. We collect this data directly from the Rally Entry forms.

What is this personal data used for?

We use entrant’s data for the administration of the Rally only.

Who is your data shared with?

Your data is not shared with any other person or organisation unless we ask your permission.

Where does this data come from?

Data for most of our entrants comes from entrants themselves when they enter the Rally.

How is your data stored?

This information is mainly stored in digital form on a laptop (for administration purposes) and in the form of written entry forms stored at the home of club secretary. The forms are kept for one year only and then destroyed.

Who is responsible for ensuring compliance with the relevant laws and regulations?

Under the GDPR (General Data Protection Regulation) we have a statutory requirement to have a Data Protection Officer. The person who is responsible for ensuring Strumpshaw Steam Rally discharges its obligations under the GDPR is the Rally Secretary.

Who has access to your data?

The only people who have access to your data are the Rally Secretary and Organiser.

What is the legal basis for collecting this data?

Strumpshaw Steam Rally only collects personal data that is necessary for the purposes of its legitimate interests as an event organiser; no financial information is obtained or required.

How you can check what data we have about you?

If you want to see the personal data we hold about you, you should contact the Rally Secretary or Organiser.

Does Strumpshaw Steam Rally collect any “special” data?

The GDPR refers to sensitive personal data as “special categories of personal data”. Strumpshaw Steam Rally does not record or ask for any such data.

How can you ask for data to be removed, limited or corrected?

By requesting this from the Rally Secretary or Organiser verbally or written and we will record the date the request is made.

How long we keep your data for, and why?

Written entry forms will be kept for one year only, after which the forms will be shredded. However, unless otherwise instructed the details will be kept on the database to send out the following years entry forms.
